MedSquirrels is a staffing and payrolling platform built for the healthcare industry. We provide an all-in-one solution for facilities to find, hire, and manage clinicians and non-clinicians for their contract and permanent hiring needs. We are a comprehensive recruitment and employer of record (EOR) platform, meaning we handle sourcing, interview management, credentialing, payroll, and benefits for talent you hire through our platform.

Traditional agencies typically charge a "markup" of 30% to 60% or more over the clinician's actual pay, and they often don’t disclose the pay details of the staffed clinicians. Whereas MedSquirrels operates on a transparent flat-fee pricing model, eliminating markups and resulting in lower bill rates. You pay the clinician’s monthly payroll cost plus our platform’s flat hourly fee. With our platform, facilities can save 20% or more on hiring costs compared to traditional agencies. Unlike agencies that just "place" talent, we provide the software tools to manage those clinicians (time tracking, time sheet management, performance, and compliance) in one place.

You can hire a wide range of contractors, including registered nurses (RNs), both local and travel nurses, licensed practical nurses (LPNs), certified nursing assistants (CNAs), pharmacists, pharmacy technicians, allied health professionals, physicians, and administrative healthcare staff. Our platform is designed to support both contractual needs and help with finding full-time employees.

Yes, for all your contract staff. Our platform acts as the employer of record (EOR) or payrolling partner. We handle all the complexities of healthcare payroll, including statutory tax withholdings, insurance, and localized compliance. You receive one consolidated invoice, and we ensure your contract staff is paid accurately and on time.

Once you post your specific requirements, including specialty, experience level, and budget, our platform and recruitment team begin sourcing. You can expect to see curated and vetted candidate profiles on the portal within 2 to 5 business days. Once you approve a candidate after the interview, the onboarding process is streamlined through our platform, ensuring all credentials and contracts are in place quickly.

Understanding our plans

The Orange Plan is our flagship "find and manage" solution for any healthcare role. Our recruitment team sources and vets talent based on your specific job description, delivering curated profiles in just 2 to 5 business days. We find the professional for you and handle their onboarding, credentialing, payroll, benefits, and compliance for a flat fee and monthly payroll costs.

The Blue Plan is our dedicated permanent placement service for all roles. Whether you are looking for a surgeon or an office manager, we handle the headhunting, profile screening, interview management, and offer advice/negotiation. You pay a one-time fee (a percentage of the talent’s annual salary) after 90 days of successfully hiring them onto your own payroll.

The Purple Plan is for facilities that have already identified a talent (clinical or non-clinical) but want MedSquirrels to act as the legal employer. For an hourly flat fee + monthly payroll costs, we manage their onboarding, credentialing, payroll, benefits, and compliance.

Billing & account management

Getting started with MedSquirrels is completely free. You can browse the platform and post your staffing needs at no initial cost. We operate on a "no-obligation" model, meaning you are only required to pay once you have interviewed the sourced candidates and confirmed a hire.

The billing works like renting an apartment. Once a resource is confirmed, you need to pay the onboarding deposit and prepay the monthly hiring cost on a subscription basis. The monthly hiring cost comprises payroll costs and our flat platform fee. This ensures full transparency—you see exactly what the clinician is earning and exactly what you are paying for the platform service.

Yes. To ensure your staff is paid accurately and on time, we require a one-month deposit plus the first month’s prepayment of payroll and platform fees. This secures the compensation for your clinicians and non-clinicians alike.

Any overage fee collected from a provider due to unpaid leave taken during employment will be reimbursed upon the provider’s termination. You can track all unpaid leave taken by your talent from your dashboard.

Yes. Your monthly subscription will be updated automatically when you onboard or offboard resources.

Once a candidate is confirmed for onboarding, we collect a deposit of the employee monthly payroll cost + $3.99/hour (EOR service fee).
 kicks in on the employment start date and ends on employment end date.
